Senior Accounting Clerk

Responsible for processing accounting transactions and analytical support to the CFO and Accounting Manager. Use specialized accounting software to manage Order Entry, Payables and various other expenditures, as well as project accounting and financial reporting support.

Functional Expertise and Interpersonal
  • Attend kickoff meeting with Sales and Project Leader.

  • Review Purchase Order (PO), Project Intake Form (PIF) and Scope of work (SOW). Verify information is current and consistent, raise any questions that could result in a billing issue (Rates and currency are clearly stated, billing contact provided).

  • Create new customers and subsequent project numbers upon approval.

  • Create Sales Orders (SO) based on the SOW, PO and PIF, review against Accounting checklist.

  • Generate invoices after receiving QA inspection approval.

  • Weekly collections.

  • Review Project Profitability report to ensure revenue and expenses are allocated correctly. Makes notes on accruals for revenue or expense. Research any variances.

  • Review and approve time and expenses for 1099 contractors. Verify location of deployment and allocate time and expense (T&E) to the proper customer and project identification number.

  • Create Accounts Payable invoices after reviewing and approving T&E (see above). Review invoice for accuracy and allocate to proper customer and project identification number.

  • Reconcile American Express charges in Expensify against the statement and notify the card user of any discrepancies.

  • Enter employee time sheets into accounting software, track direct labor costs by project.

  • Create Purchase Orders.

  • Assist Staff Accountant when possible.


Education and experienced required for the position
  • Bachelor Degree or equivalent experience (2-5 years).

  • Competency in Microsoft applications including Word, Excel PowerPoint and Outlook.

  • Excellent verbal and written communication skills.

  • High regard for accuracy and attention to detail, pride in ownership of work performed.

  • Well organized and able to manage time effectively to meet fast paced demands.

  • Customer service.

  • Ability to multitask.

  • Speak, read and write English fluently.
