
Service Coordinator
Predictive Service, a fast-growing technology and inspection company in electrical, mechanical and structural predictive maintenance services is seeking a service professional to join our service team at our Headquarters in Cleveland, OH.
Job Summary:
Our busy predictive maintenance firm is in immediate need of an organized and dedicated Coordinator to join our staff. Coordinators are responsible for negotiating and enforcing the on-time delivery of our services. They interact with customers, making sure that their expectations are met, and their requirements delivered as agreed upon. This position involves communicating with customers and field resources both over the phone and in email.
Responsibilities include:

Available for field engineers support as needed

Making calls to customers and following up with email to schedule inspections

Sending reminder emails for upcoming inspections

Create routes/trips for the field engineers of up to seven weeks’ worth of inspections

Research and Create budgets for Travel (Flights, Hotels, Rentals)

Book Flights, Hotels, Car Rentals for Field Resources

Enter and Update Inspections on Monthly Schedule, Backlog and ViewPoint

Coordinate and consult with relevant project team members to ensure the completion of proper planning before a project is started.

Keep track of all inspections scheduled and update any changes with customer, field engineer, on schedule, backlog and ViewPoint

Evaluate the progress of projects and prepare regular updates.

Coordinator will work with management, sales and field resources to discuss progress and find solutions to scheduling issues.

Map new PO’s using Google Maps to group work in most concise route based on service months

Keep current on site anniversary dates and add inspections to existing /new route.

Gathering and Confirming information to submit on Incident Reports and Additional Time Requests Forms submitted by field engineers

Completing monthly expense reports
Essential Skills and Experience:

High school diploma/GED required

Must possess excellent communication skills, both written and verbal.

Attention to detail

Flexibility and ability to adapt to abrupt changes in schedule

Ability to organize and keep track of multiple schedules of customers and field resources

Meet customer requests with a sense of urgency

Previous clerical or administrative experience a plus

Excellent phone manner

Advanced communication and organizational skills

Experience in travel coordination a plus but not required

Fluent in Spanish a plus but not required

Proficient with Microsoft Outlook, Word and Excel.

Working knowledge of Office 365 and related services (SharePoint, Power BI)

Self-starter who can manage time and responsibilities. This is generally a low-supervised position, so self-motivation and dedication to completing tasks is a must.
